Most 3PL cost articles stop at ranges. The document you actually live with is the monthly invoice. This post builds one for a Shopify brand shipping 10,000 orders in a month, line by line, so you can lay it next to your own statement or a quote you are weighing. The rates are illustrative picks from within common market ranges. They are not Orderfy rates and not anyone else's.
At 10,000 Shopify orders a month, a 3PL invoice commonly totals about $38,000 to $42,000 in fees before postage, or roughly $3.80 to $4.20 per order, and about $11 to $12 per order once postage is added. In the example below the all-in total is $114,292, and postage is 65% of it.
What does a 3PL invoice look like at 10,000 orders a month?
It looks like eleven or so lines in three groups: handling (pick, pack, packaging), inventory (receiving, storage) and everything else (returns, projects, account fees), followed by a separate postage section. The example brand ships 10,000 orders averaging 1.6 items each (16,000 units), stores about 60 pallets and 150 shelf bins, receives 30 pallets plus some loose cartons, and has a 4.5% return rate. It is a non-peak month.
| Line | Quantity | Rate | Amount |
|---|---|---|---|
| Account / platform fee | 1 month | $500.00 | $500.00 |
| Receiving, palletized | 30 pallets | $20.00 | $600.00 |
| Receiving, loose cartons (labor) | 12 hours | $38.00/hr | $456.00 |
| Storage, pallets | 60 pallets | $20.00 | $1,200.00 |
| Storage, shelf bins | 150 bins | $3.50 | $525.00 |
| Pick and pack, first item | 10,000 orders | $2.60 | $26,000.00 |
| Pick and pack, additional items | 6,000 items | $0.40 | $2,400.00 |
| Packaging (mailers, boxes, void fill) | 10,000 orders | $0.55 | $5,500.00 |
| Inserts (flyer or sample) | 4,000 orders | $0.15 | $600.00 |
| Returns processing | 450 returns | $3.25 | $1,462.50 |
| Special project (relabel a supplier error) | 8 hours | $38.00/hr | $304.00 |
| Fees subtotal | Sum of lines above | n/a | $39,547.50 ($3.95 per order) |
| Postage, 10,000 labels | 10,000 parcels | $7.42 avg | $74,200.00 |
| Carrier adjustments (re-weighs, address fixes) | 85 adjustments | $6.40 avg | $544.00 |
| Invoice total | Sum of lines above | n/a | $114,291.50 ($11.43 per order) |
Pick and pack (first and additional items) and packaging together are $33,900, or 86% of fees. Storage and receiving together are $2,781, or 7%. If your invoice looks very different from that shape, one line is out of proportion, and that is where to start asking questions.
Which lines are fixed and which move with volume?
Only the account fee is truly fixed. Pick, packaging, insert and return lines scale with orders; storage scales with how much stock you hold; receiving scales with how often and how cleanly you replenish. At 10,000 orders, a 3PL commonly waives or shrinks the account fee, so confirm whether a $500 to $1,500 monthly line (the range some providers quote for technology and account management) is waived at your volume.
Published benchmarks bracket this invoice. RushOrder's 2026 guide puts total monthly costs for 5,000 to 10,000 orders at roughly $28,000 to $48,000. Fulfill.com's 2026 survey reports about $3.20 on average to pick and pack a B2C order. FreightWaves puts the all-in cost per order at $11.88 at 10,000 orders a month. The example's $3.95 in fees and $11.43 all-in sit inside all three.
What happens to the total when your numbers change?
Small changes in order profile move the bill more than a small change in the rate card. This table holds everything else constant and changes one input in the example above.
| If this changes | Monthly impact | Per order |
|---|---|---|
| Items per order rises from 1.6 to 1.9 | +$1,200 (3,000 more additional-item picks at $0.40) | +$0.12 |
| Pick fee is $0.10 lower | -$1,000 | -$0.10 |
| Postage averages 5% lower | -$3,710 | -$0.37 |
| Return rate rises from 4.5% to 8% | +$1,138 (350 more returns at $3.25) | +$0.11 |
| Storage doubles (dead stock builds up) | +$1,725 | +$0.17 |
| Carrier adjustments double to 170 | +$544 | +$0.05 |
Postage dominates. A 5% postage difference is worth more than a 35-cent move on the pick fee, and it is the line most likely to hide a margin. Ask in writing whether postage is billed at the carrier's cost or with a markup. Our guide to reading a 3PL quote covers how to tell.
Which charges show up on invoices but not on quotes?
Four lines are routinely absent from the quote and present on the invoice: loose-carton receiving labor, special projects, carrier adjustments and, in Q4, peak surcharges. In the example they are $456, $304, $544 and $0, a combined $1,304 or 1.1% of the bill in a quiet month. They can be several times larger in a bad month, for example when a supplier ships floor-loaded cartons or a batch of mislabeled units arrives.
- Loose-carton receiving: quotes assume clean, palletized, labeled inbound. Send your 3PL a photo of a typical inbound before you sign.
- Special projects: relabeling, repacking, pulling stock for a shoot. Billed hourly. Get the rate in the contract.
- Carrier adjustments: carriers re-weigh and correct addresses after the label is bought. Accurate SKU weights and dimensions keep this line small.
- Peak surcharges: carriers add surcharges in Q4 and some 3PLs add labor surcharges. Ask what changed last November and by how much. See our peak season guide.
- Long-term storage and inactive SKU fees: if your contract has them, they appear only once stock ages. Not in this example; ask whether they exist.
How do you audit a 3PL invoice in 30 minutes?
Reconcile the volume first, then the rates, then the postage. Most billing disputes are decided in the first two steps.
- Match order count. Compare billed orders with Shopify's fulfilled orders for the same dates. A gap of a few dozen is normal (cancellations, timing). A gap of hundreds is not.
- Check items per order. Divide billed units by billed orders. If the invoice says 1.9 and your Shopify average is 1.6, the additional-item line is wrong or the unit definition differs (per unit vs per SKU line).
- Spot-check ten orders. Pick ten random order numbers and confirm the pick, packaging and insert charges match what the contract says for those orders.
- Confirm the storage method. Peak day, month-end count and daily average produce different bills for the same inventory. Check which one the contract uses and recompute it.
- Compare postage per label. Pull the carrier invoice or label report and match 20 tracking numbers. The billed price should equal the carrier price, or the contracted markup.
- Review adjustments. Look at the weight and dimension on each adjustment. Repeat offenders usually point to a wrong SKU weight in the system.
- Compare to last month. Per-order fees should move with items per order and returns. If fees per order moved with no change in either, ask why.
Ask your 3PL for its dispute window up front. Carriers set their own windows for adjustments, and your 3PL can only dispute what it can still contest.
What does it cost to send the same 10,000 orders through a different model?
A bundled quote prices the same work differently. Suppose a provider rolls packaging, inserts and returns into one pick fee of $3.50 plus $0.40 per additional item. That is $35,000 + $2,400 = $37,400, against $35,962.50 on the equivalent lines above ($26,000 pick + $2,400 additional + $5,500 packaging + $600 inserts + $1,462.50 returns). Which one is cheaper depends on your return rate and packaging mix, which is why the comparison has to be total cost divided by orders shipped. Our 3PL cost guide and calculator do that comparison for itemized and bundled quotes.
Where Orderfy fits
Orderfy is a 3PL in Garland, Texas (Dallas-Fort Worth) for high-volume Shopify and Amazon sellers. Every charge is itemized in a quote built on your numbers, including how postage is billed.
- Same-day shipping, and ground service from the center of the US reaches both coasts quickly.
- Photos of what arrived and what shipped, and direct communication channels for 24/7 access to the warehouse team, make invoice questions faster to resolve.
- The Shopify app is native: inventory syncs in real time, tracking posts to Shopify as soon as the label is created, and split shipments are supported. Orderfy ships with 99.9% order accuracy, tracked in its in-house WMS, and reships any wrong or incomplete order free while crediting that order's fulfillment fee. Accuracy commitments can also go in a written SLA with fee credits.
- Whichever 3PL you choose, ask in writing how it invoices (frequency, format, whether line-level order detail is included) and what its dispute window is. Orderfy, for example, bills weekly with autopay.
- Who Orderfy is not a fit for: brands under a few hundred orders a month, and brands that need cold-chain, oversized freight or heavy-industrial handling.
FAQ
Fees before postage commonly run $3.80 to $4.20 per order, or $38,000 to $42,000 a month, at 10,000 orders. With postage at $7 to $8 per parcel, the all-in figure is about $11 to $12 per order. RushOrder's 2026 guide puts total monthly cost at $28,000 to $48,000 for 5,000 to 10,000 orders, and FreightWaves cites $11.88 per order at 10,000.
Postage, for almost every Shopify brand. In the example it is $74,744 of $114,292, or 65%. Among the 3PL's own fees, pick and pack is the biggest at about 72%.
Usually because the quote assumed a smaller basket, cleaner inbound and fewer returns than you actually have, or because it omitted lines such as loose-carton receiving, special projects and carrier adjustments. Compare billed items per order and return rate with the quote's assumptions first.
Ask for the carrier invoice or label report and match tracking numbers to the price billed on the 3PL invoice. Ask for their rate for your most common package and compare it to the carrier's published rate for the same service and zone.
Some do. Check whether the minimum is a floor on total fees or an extra account fee on top. At 10,000 orders a floor is rarely binding, but an additive fee costs $500 to $1,500 a month in the example range.
Yes. Ask for the dispute window in the contract, then send the order numbers, the line in question and the rate you expected. Disputes about volume and rates are easiest to win; carrier adjustments are bound by the carrier's own window.
