A Shopify 3PL integration is a set of handoffs: the order goes to the warehouse, the warehouse sends back tracking, and stock counts move both ways. Each handoff has a specific Shopify object behind it. Knowing them helps you ask better questions before you sign and debug faster after.

This guide is the technical view. For the data and stock you send a new warehouse, see the 3PL onboarding checklist. For moving from one warehouse to another, see the 30-day switching plan.

Quick Answer

A Shopify 3PL integration sends each paid order to the warehouse as a fulfillment order, lets the warehouse accept it and then create a fulfillment with a tracking number, and keeps inventory levels aligned between the warehouse location and your store. In Shopify's model, a fulfillment order is the work assigned to one location, and a fulfillment is a shipment with its tracking info. Shopify can then notify the customer.

How does a Shopify order reach a 3PL?

Shopify creates a fulfillment order for each location that will fulfill part of the order, and a 3PL app receives it through the Admin API or a webhook. In Shopify's own description, a fulfillment service has its own dedicated location, and the merchant (or another app) submits a request for that location to fulfill the order.

Shopify documents these webhooks for fulfillment services (API version 2023-01 and higher):

Webhook topicWhen it fires
fulfillment_orders/order_routing_completeA fulfillment order is created and routing has completed
fulfillment_orders/fulfillment_request_submittedA merchant requests items be fulfilled by the service
fulfillment_orders/fulfillment_request_acceptedThe service accepts the request
fulfillment_orders/fulfillment_request_rejectedThe service rejects the request
fulfillment_orders/placed_on_holdA fulfillment order is placed on hold
fulfillment_orders/cancellation_request_submittedA merchant asks to cancel after the service accepted

How does tracking get back to Shopify?

The 3PL creates a fulfillment against the fulfillment order, with the tracking number and carrier. Shopify marks those items fulfilled and can notify the customer. A partial shipment creates a second fulfillment later.

Shopify defines a Fulfillment as a shipment of one or more items in an order, including the line items, tracking information and the location. That is why one order can show two tracking numbers when a 3PL ships it in two boxes.

With Orderfy, tracking posts to Shopify as soon as the label is created, and split shipments are supported. Ask any 3PL how soon after a label is created the tracking number lands in Shopify, and whether split shipments are supported.

How does inventory sync between Shopify and a 3PL?

The warehouse count is the source of truth for stock it holds, and the 3PL pushes available quantities to the Shopify location that represents that stock. Shopify decrements available inventory as orders are placed, and the warehouse reconciles when it receives, picks, adjusts or returns stock.

In Shopify's model, variants managed by a fulfillment service should always be fulfilled from that service's location, so you do not oversell from the wrong place. Keep any other locations (a store, a second warehouse) as separate Shopify locations.

EventWhere the change startsWhat should happen in Shopify

Orderfy's Shopify app syncs inventory in real time. Whichever 3PL you choose, ask how often inventory levels sync and how a mismatch is flagged.

What do the sync steps look like for a 10,000-order month?

At 10,000 orders a month, the integration carries roughly 330 orders a day through the order, accept, ship and tracking steps, so a small failure rate becomes real work. A simple worked example: a 0.5 percent order-handoff failure rate is about 50 orders a month that someone has to find and fix.

Orders per monthOrders per day (approx.)Failures at 0.5%Failures at 2%
5,00016725 a month100 a month
10,00033350 a month200 a month
25,000833125 a month500 a month

Those failure rates are illustrative, not measured. The point is to ask your 3PL how failed syncs are detected, who is told, and how long a stuck order can sit. Cutoffs matter too: an order that reaches the warehouse after the daily cutoff ships the next day.

What are the ways to connect a store to a 3PL?

There are three common patterns, and the Shopify enterprise guide describes the main two: a prebuilt app, or a third-party connection. Which one fits depends on your volume and how unusual your order rules are.

MethodHow it worksBest forWatch for
3PL's own Shopify appInstalled from Shopify; reads orders and writes fulfillmentsMost brandsApp must support your order tags and splits

What can go wrong with a Shopify 3PL integration?

  • SKU mismatches: a blank or duplicated SKU in Shopify means the warehouse cannot map the line. Fix SKUs before go-live.
  • Two sources of truth for stock: if you edit inventory in Shopify while the 3PL also writes it, counts drift. Pick one owner.
  • Orders held on hold: a fulfillment order placed on hold stops fulfillment until released. Know who releases it.
  • Edits after submission: an address change after the request is accepted needs a cancel request or a call to the warehouse.
  • Multi-location routing: with more than one location, Shopify assigns the location. Check your routing rules so orders land where the stock is.
  • Legacy apps: Shopify states that all apps should be using the FulfillmentOrder object as of API version 2023-07. Ask any 3PL about its app version.

What should you test before go-live?

  1. Place a single-item order and confirm it appears at the warehouse within minutes.
  2. Place a multi-item order and a kit order.
  3. Cancel an order before pick and after pick.
  4. Change an address before the order is accepted.
  5. Ship and confirm the tracking number and customer email.
  6. Receive a small inbound and confirm available inventory in Shopify matches the warehouse count.

The onboarding checklist places these tests inside the larger go-live plan.

Where Orderfy fits

Orderfy is a tech-enabled, modern 3PL for high-volume Shopify and Amazon sellers, with Orderfy WMS, a proprietary WMS built in-house and included for clients. The warehouse is in the center of the US, in the Dallas-Fort Worth area. It is natively integrated with Shopify through its own app, which imports orders and products, creates fulfillments with tracking, and syncs inventory. Clients get same-day shipping, photo records of shipments, and direct communication channels for 24/7 access to the warehouse team. See Shopify fulfillment at Orderfy and ask for a quote.

Frequently asked questions

Yes, once the 3PL's app is connected and the variants are assigned to that location. Shopify creates fulfillment orders and the app receives them. No manual export is needed.

The 3PL creates a fulfillment for the order with a tracking number and carrier. Shopify marks the items fulfilled and can email the customer. With Orderfy, tracking posts to Shopify as soon as the label is created.

It depends on the provider. Some push changes as they happen, others on an interval. Ask for the interval in writing and what happens if a sync fails. With Orderfy, inventory syncs in real time.

A fulfillment order is a group of items in an order that are fulfilled from the same location. An order can have several. Shopify uses it to track requests, accepts, rejects and cancellations between the merchant and the fulfillment service.

Yes, each warehouse is a separate location in Shopify and orders are assigned to locations by routing rules. Keep inventory ownership clear for each location.

Ask how a failed order is detected and who is told. The fallback should be a person you can message. Orderfy clients get direct communication channels for 24/7 access to the warehouse team.
